Position Description
The Welcome to America Project (WTAP) is a grassroots nonprofit organization that creates community connections by organizing volunteers to provide furniture, basic necessities, education, and additional resources to newly arriving refugees. We offer a simple welcoming gesture, but it is one that lasts a lifetime.
The Program & Volunteer Manager is a key leadership position at The Welcome To America Project (WTAP) who will oversee and implement critical programs serving our local refugee community. This position has an important role in advancing high-quality programs and volunteer experiences, assessing and meeting the needs of constituents, and effectively cultivating strategic partnerships to increase mission impact and attract supporters.
The addition of the Program & Volunteer Manager position is also an exciting part of WTAP's organizational growth and will be integral to our expansion in response to a significant increase in refugees as well as funding.
The Program & Volunteer Manager is supervised by and works in collaboration with the Executive Director.
The position will supervise staff, interns and/or AmeriCorp VISTA's, and will collaborate with the entire WTAP team, constituents, volunteers, donors and partner organizations.
Specific responsibilities of the position include, but are not limited to:
Program Strategy & Volunteer Management
- Develops, implements and oversees a comprehensive strategy for WTAP's programs in collaboration with the Executive Director and staff to advance our mission.
- Works with staff to create and refine programs that are strategic and impactful. Develops a growth and sustainability strategy for our programs, including relevant systems to manage volunteers, program outcomes and mission impact deliverables.
- Develops and maintains budgets, allocates resources and approves expenditures to ensure that projects are completed within budget and according to timelines and deliverables.
- Conducts regular evaluation of programs including data analysis and reporting to measure impact and to inform programmatic decision making.
- Monitors program deliverables including those used for annual impact reports and other internal and external reports and communication.
- Develops and maintains efficient systems for organizing and administering programmatic work.
- Works with community groups and volunteer matching agencies to recruit new volunteer talent.
- Creates a positive volunteer experience that is meaningful and impactful from ease of registration to volunteer recognition.
- Manages a volunteer database and utilizes data and reports to support a variety of efforts within the organization.
Program Implementation
- Implements and oversees programs including but not limited to Welcomes, Clothing Closets, Digital Literacy and Learn English Now.
- Expands services in response to increased needs, available funding, volunteer resources and strategic initiatives set forth by WTAP's Board and Executive Director
- Manages programmatic contracts and monitors systems.
- Designs and facilitates partnership meetings/open houses and continuous communication to foster quality relationships within the refugee resettlement community.
- Develops collateral to advance the promotion of quality services including communications messaging,client stories, infographics and flyers.
- Utilizes technology systems such as websites, social networking sites, and online training systems to implement and promote programs and volunteer opportunities.
- Develops and maintains relationships with professionals working within the refugee resettlement community to strengthen WTAP's role as a trusted and valued partner.
- Cultivates relationships with prospective and current community partners, positioning WTAP as a critical resource for refugee families and a desirable volunteer experience.
Supervision
- Supervises program staff, interns, lead volunteers and/or AmeriCorp VISA's to ensure that their work integrates with the organization's systems, processes, and strategic goals.
- Maintains a strengths-based approach to management - drawing out the talents of the team in a mission focused, fun, team oriented environment where sincerity and inclusivity is highly valued.
- Ensures accountability and responsibility by setting clear goals and expectations, providing timely and helpful feedback.
- Creates a highly collaborative and effective programs team for the implementation of WTAP's strategic initiatives.
Organizational Leadership
- Aligns WTAP programs to the organization's strategic direction and identifies programmatic opportunities and collaborations to enhance WTAP impact.
- Maintains a working knowledge of significant developments in the field and program quality areas.
- Contributes to funding proposals and reports, informs fund development strategy, represents WTAP at funding meetings, and participates in volunteer recruitment and fundraising activities,as needed.
- Participates in organizational retreats, staff development, and skill building activities.
- Provides general agency support as needed including back-up for lead volunteers.
Salary: $50,000
Position Qualifications
- Minimum 5 years of relevant work experience in program and volunteer management with progressively increasing responsibilities.
- Demonstrated experience in designing and growing programs, managing complex projects, and/or overseeing professional development and capacity building systems.
- Experience in the nonprofit sector required.
- Education and/or professional development in areas relevant to the position. Bachelor's Degree preferred.
- Ability to obtain a Level 1 Fingerprint Clearance Card in AZ.

Ability and willingness to do extensive computer work, some lifting (up to 20lbs), and work occasional evening and weekend hours, if needed.
